Plans for buildings running capital projects.
Project governance for capital improvements — not dues, violations, or resident portals. Board starts at a simple monthly price; Board Pro and multi-building are scoped to your CapEx.
How BoardRecord compares to a management company
Management companies charge $25K–$100K/year to run your building — and tack on 2–15% of construction costs for project oversight. BoardRecord gives your board direct project visibility for a fraction of the cost.
Management company
$25K–$100K
/year for a 50-unit building
Project mgmt surcharge
2–15%
of construction costs, on top of base fee
Board Pro
$1,548
/year from list Board Pro ($129/mo × 12) — typical starting point; scoped on a briefing
BoardRecord doesn't replace your management company — it gives your board an independent, searchable record of every project email, file, and decision. It works alongside your existing HOA software for accounting and dues; we add the communication layer. Self-managed boards save even more by skipping the management company entirely.
Unlike portal-based CapEx project tools, BoardRecord keeps vendors in email — no login required, no adoption problem.

Frequently Asked Questions
Does BoardRecord replace our HOA or accounting software?
No. Keep your existing platform for dues, payments, and full building management. BoardRecord adds project timelines, search, and document Q&A on top of the email you already use.
Do contractors or vendors need to pay?
No. External contractors, architects, and vendors communicate via email — they never need an account or login. Plans are framed around building size (units), not vendor seats.
What happens when my trial ends?
Your 1-month trial gives full access to your board. When it ends, your data stays intact and you can choose a paid plan to continue.
How is Board Pro priced?
Board Pro starts from $129/month and is scoped to your active CapEx (payments, approvals, obligations). Most boards book a briefing so we match the plan to the project.
What's a guided pilot?
A short briefing on your board and project, then we help you open the workspace and project email. Self-serve signup remains available for Board.
Can I upgrade or downgrade anytime?
Yes. You can move between Board and Board Pro as your needs change. Moving into Pro (payments and approvals) usually starts with a quick check-in so we scope it to your CapEx. Changes take effect on your next billing cycle.
How do you size a building for pricing?
We look at occupancy — number of units — not how many directors sit on the board. Small buildings (10–30 units) typically start on Board; medium buildings (31–100) on Board Pro; large or multi-building portfolios on Enterprise. Login access is still for board members and managers; vendors never count.
How is BoardRecord different from AI HOA tools like HomeHerald?
HomeHerald and similar platforms automate daily community operations — dues, violations, and resident chat. BoardRecord is built for capital projects: roof replacements, facade restorations, and special assessments. It works alongside your HOA software, not instead of it.
Do we need BoardRecord if we have a management company?
If your board wants an independent record it owns, yes. Your management company's inbox is not your board's archive. BoardRecord gives directors a searchable, exportable timeline separate from the PM's systems — especially valuable during board turnover or disputes.
How do vendor payments work on Board Pro?
Board Pro detects invoices from vendor email, lets the board confirm amounts, and routes payments through tiered board approvals. Vendors onboard via Stripe Connect (email link, no portal login). The building funds payments via ACH from its operating account. Every step is logged to an immutable audit trail.
Is there a fee on vendor payments?
BoardRecord charges a 0.5% platform fee on each vendor payment. Stripe ACH processing fees (0.8%, capped at $5) and Connect payout fees apply at pass-through rates. Your board sees the full breakdown before executing any payment.
Do vendors need BoardRecord accounts to get paid?
No. Vendors complete a one-time Stripe Connect onboarding via email link. They never log into BoardRecord. Payment status and 1099 tax ID collection happen through Stripe-hosted flows.
